Section A / Compliance and certificates

Property compliance

Keep property compliance organised with coordinated visits, clear records and practical follow-up.

In short

Property compliance management brings landlord certificates, safety assessments and renewal dates into one organised service. Peachtree Maintenance helps landlords, agents and property managers identify what each property needs, arrange appropriate specialists and track outstanding actions. It suits individual rental homes, managed portfolios, HMOs and supported accommodation, where duties depend on the building, occupation and location.

Different duties need different checks

Frequency: According to each requirement

There is no single landlord compliance certificate covering every obligation. In England, separate rules address gas safety, electrical installations, energy performance, smoke and carbon monoxide alarms and other housing conditions. Fire safety duties, HMO licensing and local licence conditions can add requirements. A certificate does not replace the duty to act on hazards or maintain safe accommodation.

Responsibility depends on the tenancy, ownership arrangements and who controls the relevant part of the building. Commercial premises and supported accommodation may involve additional dutyholders. Wales and Scotland have different housing frameworks, so an England checklist should not be applied automatically. Check current GOV.UK guidance and local council requirements when establishing the schedule or changing how a property is used.

Build a reliable property record

Start with the property address, tenancy status, appliance details, existing certificates and any licence documents. Record the actual inspection date, next due date and any shorter interval specified by the inspector. Missing paperwork should be investigated rather than treated as evidence that a check has happened. We help distinguish a booking confirmation from a completed report and a satisfactory outcome.

A useful record also shows who received each document and when. Keep tenant issue dates, contractor reports and remedial confirmation together so your team can respond to enquiries without searching separate inboxes. Where an agent manages the administration, agree which tasks remain with the landlord and who authorises expenditure.

Manage actions as well as renewals

An inspection can identify work that needs attention before the next scheduled visit. We help separate immediate safety concerns, time-limited remedial work and longer-term recommendations. Proposed work is explained before approval, and completion evidence is linked to the original finding. A repair invoice alone may not be the written confirmation required under the relevant regulations.

Planning visits together can reduce disruption, but different checks still need appropriately qualified people and their own records. Tenant access, shared areas and specialist equipment may affect scheduling. If access is refused, retain correspondence and seek appropriate guidance rather than assuming a missed appointment removes the underlying duty.

How it works

  1. 01

    Review the property

Share your property list, current paperwork and known concerns. We identify gaps and clarify the building's use, location and management arrangements before proposing a schedule.

  2. 02

    Agree the plan

We explain the checks proposed, access needs and approval arrangements. Named contacts and a renewal record help prevent uncertainty over who is organising each task.

  3. 03

    Complete and document

Appropriate specialists carry out the agreed inspections. Peachtree records photo evidence on every job and provides digital reports, highlighting findings that require a decision or further work.

  4. 04

    Track the follow-up

We record agreed remedial actions and future dates. Your team retains responsibility for its duties, supported by accessible paperwork and a clear point of contact.

Frequently asked questions

01

Which certificates does a landlord need?

That depends on the property and location. Gas safety records, electrical installation reports and EPCs are common requirements, but alarms, fire precautions, water risks and licence conditions also need consideration. We review the circumstances rather than present a universal certificate bundle as proof of compliance.

02

Can you take over existing certificates and renewal dates?

Yes. Supply the complete documents, not just expiry dates or invoice references. We check the recorded address, inspection outcome and outstanding actions before adding dates to the schedule. Unclear or missing information may need confirmation from the original assessor or a fresh inspection.

03

Does using a managing agent transfer my legal duties?

Appointing an agent does not automatically remove a landlord's responsibilities. The management agreement should explain who arranges checks, issues documents and approves repairs. Keep oversight of completed work and seek suitable advice if the allocation of responsibilities is unclear.

04

Can checks be arranged while tenants remain in the property?

Many routine checks take place in occupied homes with agreed access. Explain the purpose, likely disruption and any need to reach appliances, meters or sockets. Follow the tenancy terms and applicable notice rules. A compliance deadline does not create an unrestricted right to enter.

05

Will I receive one certificate confirming everything is compliant?

No. Each inspection has its own scope and limitations, and some obligations involve ongoing management rather than certification. Peachtree provides the relevant reports and an organised action record. These support your management decisions but do not guarantee that every legal duty has been discharged.
